The HIM File Room Specialist is responsible for the daily management of hospital and clinic paper medical records housed at the NWH warehouse. The position ensures and documents chain of custody for records delivered and picked up at the warehouse. Processes medical record requests from NWH clinics and the HIM department. Tracks records in circulation to ensure that records are returned to the warehouse. Receives new records for storage and updates the inventory database. According to the UW Medicine retention policy, identifies charts eligible for destruction and prepares destruction log. Identifies issues with missing records and assists in locating any missing files. Assures security of confidential records including PHI.
High school diploma or GED required.
Prefer Associate Degree in Health Information Management or related field.
Licensure, Registration, Certification
Prefer RHIT (Registered Health Information Technician) from AHIMA (American Health Information Management Association).
Medical Terminology from experience or formal classes.
Knowledge of the components in a medical record and experience in locating information in a medical record.
Ability to work independently, without close supervision.
Demonstrated organizational skills, accuracy and attention to detail.
Critical thinking, decision making skills, problem solving skills.
Creative and innovative, able to make suggestions for improvements.
Proficient in Microsoft applications, including Excel. Knowledge of Microsoft Access preferred.
Knowledge of HIPAA requirements related to PHI and ability to maintain confidentiality.
- Two years’ experience in Health Information Management, preferred.
Must be able to move freely about the warehouse.
Must be able to safely maneuver boxes of records while standing or operating the lift.
Must be able to climb small ladder or stool while carrying boxes.
Must be able to lift and carry objects weighing up to 50 pounds.
Maintains current knowledge of and utilizes ergonomic workstation recommendations.
Must have a valid Washington state driver’s license.
